What’s included
One checklist for every maintenance visit.
Use it for spring cooling checks, fall heating checks, or an annual PM. The checks cover the tune-up tasks on ENERGY STAR’s maintenance checklist, such as tightening electrical connections, checking the refrigerant charge, clearing the condensate drain, and checking gas pressure, burner combustion, and the heat exchanger.
Mark N/A for anything the system does not have, like a defrost cycle on a furnace or belts on a direct-drive blower. The Excel version adds dropdowns and counts the OK, Repair, and N/A results in each section.
- 01

Completed example
A spring cooling check, filled in.
This fictional example records a spring visit to a 3-ton split system. The technician found a weak run capacitor and missing line insulation, recorded the refrigerant readings, and marked the heating checks N/A until the fall visit. Download the MobileForm PDF report to see every section, the readings, a demo photo, and clearly labeled demonstration signatures.

Take the checklist to the job.
Open the ready-made checklist in MobileForm, adjust the checks for the equipment you service, and save it. On a phone, the sections stay one tap away: a bar at the top shows where you are and jumps to any section. Readings go into number fields, and the completed visit exports as a PDF report you can share with the customer.

HVAC maintenance checklist questions
Is the HVAC maintenance checklist free?
Yes. Download the blank PDF, Excel workbook, and completed example without signing up, and reuse them for your own maintenance visits.
Does it cover both heating and cooling?
Yes. Use the cooling checks on a spring visit and the heating checks on a fall visit, or both on an annual PM. Mark N/A for anything that does not apply, such as gas checks on an all-electric heat pump.
What readings does it record?
Supply voltage, compressor and blower motor amps, suction and liquid pressures, superheat, subcooling, temperature split, and a CO reading for gas heat. Compare each reading with the manufacturer’s specifications for the equipment; the checklist records the numbers but does not judge them.
How often should HVAC maintenance be done?
ENERGY STAR suggests checking the cooling system in the spring and the heating system in the fall. Your maintenance agreement or the equipment manufacturer may call for more frequent visits.
Can I use it for rooftop units and commercial equipment?
Yes. Pick Packaged / RTU as the system type, and the belts and pulleys check covers belt-driven blowers. In MobileForm, add checks for economizers, filters per unit, or anything else your contracts require before saving the form.
Can technicians fill it out on a phone offline?
Choose Customize in MobileForm to open an editable form with the sections and checks already added. Save the form and open it on the device while online before heading out. Technicians can then mark checks, enter readings, take photos, and sign offline, and the visit syncs when connected. Free includes 3 forms and 50 submissions per month.
