Conditional fields

Updated

Conditional fields appear only when an earlier answer calls for them. A failed check can reveal a defect photo and notes, and a "Customer present?" checkbox can reveal a sign-off section.

Adding rules requires Pro or Team. Anyone, including field technicians on Free, can fill a form that already has rules.

Add a rule to a field

  1. Open the form in the builder.
  2. On the field that should appear conditionally, tap Add visibility rule. The rule reads Show this field when.
  3. Pick an earlier question, then the condition, then the value. For example: Roof decking, is, Fail.
  4. Tap Save.

To remove a rule, tap Clear rule.

Hide a whole section

Add the rule to a Section Header instead. It reads Show this section when. When the rule is not met, the header and every field below it, up to the next Section Header, are hidden. Fields inside the section can have their own rules too.

Supported conditions

Any answer fieldis filled, is empty

Is one of matches any of several options, for example Severity is one of Major or Safety risk.

How hidden fields behave

  • Rules run on the phone, so they work without a connection.
  • If an answer changes so a field hides, whatever was entered in it is kept while filling. Change the answer back and it reappears.
  • Hidden fields are left out of the submitted record and the PDF. Excel and Google Sheets show a blank cell.
  • Required fields are only required while they are shown.
  • If a field depends on a question that is itself hidden, it stays hidden too.

Limits

  • One condition per field. A rule cannot combine several questions. Is one of covers several options of one question.
  • Rules only show fields. There is no "hide when" or jump to a page.
  • Number fields support only is filled and is empty. Greater than and less than are not supported.
  • The question a rule depends on must come earlier in the form.
  • Multi-select, Attachment, Repeating Section, and Calculation fields can be hidden by a rule but cannot be the question a rule depends on.
